Privacy Policy

Pro Administration Services Inc. (“Pro Administration,” “we,” “us,” or “our”) respects your privacy. This policy explains how we collect, use, disclose, retain, and protect personal information when you use our corporate website, AdminPro platform, related applications, or supported integrations (collectively, the “Services”).
AdminPro users: AdminPro is intended for authorized users. Signing in with Google or another identity provider verifies identity but does not by itself grant access to the platform or to an organization’s information.
1. Scope and accountability
This policy applies to proadmin.ca, the AdminPro platform, and Pro Administration’s related web services and approved integrations. It does not govern an unaffiliated third party’s own website, application, or independent handling of personal information.
Pro Administration is responsible for personal information under its control and applies applicable Canadian privacy requirements, including British Columbia’s Personal Information Protection Act and Canada’s Personal Information Protection and Electronic Documents Act, where they apply.
2. Information we collect
Website and communications
- Contact details and the contents of messages or forms you submit.
- Basic technical information such as IP address, browser and device type, timestamps, referring pages, pages viewed, and diagnostic logs.
- Cookie or similar technology data used for site functionality, security, preferences, and aggregate measurement.
AdminPro account and operational information
- Account and identity information, such as name, business email address, profile information, identity-provider identifier, and authentication events.
- Organization, company, location, role, permission, and account-status information used to control access.
- Information entered, uploaded, generated, or processed through authorized workflows, including records, files, reports, approvals, comments, and audit history.
- Security and service data, such as session, device, IP address, request, error, access, and administrative logs.
Information received from Google services
When you choose Google Sign-In, Google may provide AdminPro with basic account information that you authorize, such as your name, email address, profile information, and a unique Google account identifier. AdminPro currently requests the standard openid, email, and profile permissions for sign-in.
Where an authorized administrator connects Google Ads or another supported Google service for an approved business purpose, we may process information permitted by that connection. For Google Ads, this can include linked-account structure, campaign and ad group settings, ads and assets, keywords and search terms, budgets and bidding settings, conversion and performance metrics, landing-page information, and keyword-planning data. We do not receive your Google password.
Our use and transfer of information received from Google APIs complies with the Google API Services User Data Policy, including the Limited Use requirements.
3. How we use information
We use information only for legitimate, identified purposes, including to:
- provide, operate, secure, support, and improve the Services;
- authenticate users and enforce organization-, role-, and function-level authorization;
- perform requested workflows, reporting, diagnostics, and approved administrative operations;
- support authorized Google Ads reporting, keyword research, and controlled campaign maintenance;
- communicate about access, support, security, service changes, or submitted inquiries;
- detect, investigate, and prevent misuse, fraud, security incidents, and technical problems;
- maintain auditability, satisfy contractual obligations, and comply with law.
We do not sell personal information. We do not use Google user data for personalized advertising, and we do not permit people to read Google user data except where necessary to provide or secure an approved function, with the user’s consent, or as required by law.
4. When we disclose information
We may disclose information:
- to authorized Pro Administration personnel, contractors, and the organization associated with your account, subject to access controls and confidentiality obligations;
- to service providers that help us host, secure, authenticate, support, analyze, or operate the Services, including Google and Microsoft services where configured;
- when required by law, legal process, or a valid request from an authorized public body;
- when reasonably necessary to protect rights, safety, systems, users, or the public; or
- in connection with a proposed or completed corporate transaction, subject to appropriate safeguards and legal requirements.
Some providers may process information outside your province or outside Canada, where it may be subject to the laws of the jurisdiction in which it is processed.
5. Retention and deletion
We retain personal information only for as long as reasonably necessary for the purposes described in this policy, to meet operational, contractual, audit, security, and legal requirements, and to resolve disputes. Retention periods vary by record type and the organization responsible for the record. When information is no longer required, we delete, anonymize, or securely dispose of it, subject to limited backup cycles and lawful holds.
6. Safeguards
We use administrative, technical, and physical safeguards appropriate to the sensitivity of the information. These may include encrypted transport, identity-provider controls, role-based access, separate application authorization, secret-management controls, monitoring, backups, and audit logging. No Internet transmission or storage system can be guaranteed to be completely secure.
7. Your choices and rights
Subject to applicable law, you may ask to access or correct personal information under our control, withdraw consent where processing depends on consent, or request deletion where we are not required to retain the information. We may need to verify your identity and may direct an employment or organization-controlled record request to the responsible organization.
You can manage or revoke AdminPro’s access to your Google Account through your Google Account connections. Revoking a connection prevents future access through that authorization but may not require deletion of records we must retain for security, audit, contractual, or legal reasons. You may also contact us to request account or Google-derived data deletion.
You can control cookies through your browser settings. Disabling essential cookies may prevent parts of the Services from working.
8. Children
The Services are intended for business use and are not directed to children under 13. AdminPro is limited to authorized users. If you believe a child has provided personal information to us, please contact us so we can investigate and take appropriate action.
9. Changes to this policy
We may update this policy to reflect changes in our Services, practices, or legal obligations. We will post the revised policy here, update the effective date, and provide additional notice where required.
